Plumbing contractors
COI tracking for plumbing contractors
Plumbing shops send their own certificate upstream and collect other people's certificates on the way down. The underground crew, the insulation contractor around the water heater, the medical-gas installer, and the drain company you call when the jetter is already booked all show up with a PDF. Those files age out on different months. The office that files them by job name instead of by company will not notice which policy ended.
The 7-day trial applies to first-time subscribers only.
Separate the shop's certificate from the sub's
The certificate a general contractor requests is your firm's: general liability, workers' compensation, automobile for the trucks, and sometimes umbrella because the spec copied a limit from a larger mechanical package. Your broker issues that form when the GC asks. It proves your policy on that day. It says nothing about the excavation partner who opened the street.
Collect the partner's certificate before they mobilize, not after the inspector asks who was in the trench. Record general liability and workers' compensation as separate documents. Auto matters when they bring a trailer. If you accept a workers' compensation exemption from a one-person drain cleaner, store the exemption with an end date instead of dropping a PDF into a folder named forever.
Service work that outlives the policy term
A commercial account may be a one-page service agreement that renews quietly while your liability policy renews on a different month. The property manager will ask for an updated certificate at their audit, which is a bad time to discover the last file you sent them expired in March. Put your own renewal date on the board too, as the company record, so the reminder fires before the audit email.
Downstream partners should get the same treatment. Default reminders are 30, 14, and 7 days before the expiry you typed from the form. The update link lets them upload a replacement without an account. You approve it in Review before it becomes the current file. That stops last year's certificate from being resubmitted under a new email subject line.
- One party per company, even if they only jet drains twice a year.
- Do not use the job number as the only place the expiry lives.
- Keep automobile liability when the partner's truck is on the street cut.
- Type the policy expiration, not the date the broker pressed send.
Which plan fits a plumbing office
A residential service shop with a handful of excavation and camera partners usually fits Starter, 25 parties and 3 seats. A new-construction plumber who rotates underground, fixture, and medical-gas subs is more often on Pro, 100 parties and 10 seats. Business is 300 parties and 25 seats when several project managers share one board. Annual billing is two months free and does not change those limits.
Journeyman and master plumber licenses are a different record from the certificate of insurance. The plumber license page describes tracking those cards and continuing education for employees. This page is only the certificate file. The tracker does not decide whether a limit is high enough for a spec. Read the form, and use the subcontractor COI checklist when you want a second set of eyes on what to compare.

Questions
We already upload our COI to the builder's portal. Is that enough?
The portal holds what you sent the builder. It does not hold the excavation company's certificate that you needed before they opened the ditch. Track the people you hire, even when the GC is tracking you.
Can a helper's truck be on our auto policy and still need a certificate?
If the helper works for another company, their company's auto belongs on their certificate. Your fleet policy does not cover a subcontractor's vehicle just because it parked behind your van.
How does the trial work?
A 7-day trial applies to first-time subscribers only. Party and seat limits are the same on the annual plan, which is ten months of the monthly price.
