Employee licenses

Plumber license and CE tracking

Plumbing licenses are personal. A master plumber's name is often the name on the shop's contracting privilege, and a journeyman's card is what an inspector asks to see at the water heater. Those cards expire on the board's schedule, not on the day your general liability policy renews. A spreadsheet with one date column cannot hold both without someone eventually typing the insurance date into the license row.

The 7-day trial applies to first-time subscribers only.

Whose name is on the card

Create an employee party for each plumber whose license or registration can lapse. Put the master qualifier on their own row even if they are also the owner. The company record can hold the contractor license or registration if the state issues one to the firm. When the qualifier leaves, you can see that the company privilege and the person's card are not the same object. One reminder will not cover both.

Local plumbing registrations, backflow tester certificates, and medical-gas credentials expire too, and not together. Give each one a document type with its own date. Continuing education is the date the hours must be finished, which may be earlier than the card's printed expiration if the board wants proof before it will renew. Track the date that causes you to miss a renewal, and write in the notes whose website you checked.

Asking for the new card without a group text

Reminders go out 30, 14, and 7 days before the date on that document. The plumber receives them if you put their email or phone on the party. The update link is how they send a photo of the renewed card without making an account. You review the photo. If it is the old card photographed again, you reject it and the previous current file stays current. That sounds small until an expired card has been the current image for six months because nobody compared the year.

The product does not connect to a state licensing lookup. Some states publish a search page. Use it to verify, then type the expiration you saw. A copied link in the notes is more useful than a claim that the software watches the board for you. Texas and Oklahoma electrician guides in this site are examples of how specific a note can be. Plumber boards are different agencies. Confirm hours and fees there.

  • One party per licensed person, including the qualifier.
  • Separate documents for journeyman or master, local registration, and CE.
  • Do not store the COI expiry in the license date field.
  • Remove people who have left so their dates stop reminding you.

Insurance stays on the COI page

General liability for the shop and certificates from excavation partners are the plumbing contractor COI workflow. Same workspace, different document types. Starter is 25 parties and 3 seats. Pro is 100 and 10. Business is 300 and 25. A shop of eight plumbers plus a few subs fits Pro if you also track the subs as parties. Annual billing is two months free. The trial is 7 days and only for first-time subscribers. The software will not renew a license or calculate whether someone's hours are enough. It will show you the date you entered and ask for a new image before that date.

Questions

Our master plumber is the owner. One row or two?

One employee row for the person, plus the company record for the firm. If a single card is both, store that card on the person and note on the company record which person is the qualifier. You still want the company available for insurance documents.

Apprentices do not have a card yet. Do I add them?

Add them when a registration or enrollment has an expiration. Otherwise wait. An empty party with no date does not belong on an expiry board.

Can office staff update a date without deleting the old card?

Yes. A new upload goes through Review. The prior file remains the current one until you accept the new one. Rejecting a bad photo leaves the old record in place.
