Employee licenses

HVAC technician license and CE tracking

An HVAC shop's compliance file is a stack of personal credentials plus one company license. A technician can hold a state mechanical license, an EPA section 608 certification, a local registration, and a continuing-education deadline that does not match any of those expiration dates. The owner learns a card lapsed when a inspector asks for it on a roof, or when a technician who quit still looks current in a spreadsheet nobody updates.

The 7-day trial applies to first-time subscribers only.

People and the company are different parties

Add each technician as an employee party. Add the shop as the company record. The company contractor license, if your state issues one, lives on the company. The technician's license lives on the person. Mixing them means a company renewal reminder fires on the day a journeyman card expires, or the other way around, and you chase the wrong document.

EPA section 608 is a certification, not a state license, and it may not expire on the same calendar. If you choose to track it, give it its own document type so the date is honest. Continuing education is its own date too: the hours are due at the end of a cycle, which might be the license term or a separate window. Type the due date you are actually accountable for. Do not invent a single anniversary for every card in the wallet.

What the office can see without collecting wallets

The board shows valid, expiring, and expired. Default reminders are 30, 14, and 7 days before the date you entered. That is enough time to book a class or to tell a technician the renewal application is their job this month. The update link lets the technician photograph the new card and upload it without an account. You accept it in Review before it replaces the current image. A blurry photo of the wrong person's card should not become the record because the upload succeeded.

Texas and Oklahoma electrician rules ship as editable starter text for electrical shops. HVAC rules vary more widely by state and trade, so you type the authority, the license name, and the renewal notes that match your board. The product does not log into a state database and it does not promise that a figure on a guide page is this year's statute. Verify the hours and the fee with the licensing authority. Then store the date you verified against.

  • One employee party per technician, including apprentices if their registration expires.
  • Company contractor license on the company record.
  • Separate documents for the state license, EPA 608, and CE due date.
  • Review uploads before they become current.

Certificates of insurance are the other file

The shop's general liability certificate is not a technician license. Subcontractors you hire, such as crane or controls firms, belong on the HVAC contractor COI page. You can keep both kinds of documents in one workspace because the document types differ. Starter holds 25 parties and 3 seats, which covers a small service staff. Pro is 100 parties and 10 seats. Business is 300 parties and 25 seats. Annual billing is two months free and does not change the limits. The 7-day trial is only for a first-time subscriber.

Nothing here files a renewal with the state or pays the fee. It reminds a person, stores the image, and keeps the previous card from being overwritten by accident. If a technician leaves, remove or deactivate that party so their expired card does not keep emailing the shop. The seat they used can go to the next hire.

Questions

Do apprentices count as parties?

If the state or the city issues them a registration that expires, yes. If they have no credential of their own yet, you do not need a party until they do. Parties are people or companies you are tracking, not every name on the payroll.

Can a technician upload their own card?

Yes, through an update link you send. They do not get a login. The file sits in Review until someone at the shop accepts it.

Will this tell me the CE hours for my state?

No. You enter the due date and the notes from the authority that licenses you. Starter text exists for Texas and Oklahoma electrician licenses. HVAC requirements should be confirmed with the board that issued the card.
