Employee licenses
Salon license tracking for cosmetologists
A salon license file fits the employee-license model because the state licenses the person and, separately, the shop. A cosmetologist, barber, esthetician, or nail technician can hold a personal license that expires on a different month from the establishment license on the wall. Booth renters complicate the paperwork, but the date problem is the same: someone is legal to work only while their card is unexpired, and a paper calendar on the break-room wall is easy to miss when the person is off that week.
The 7-day trial applies to first-time subscribers only.
Personal license versus establishment license
Add each licensed person as an employee party, including booth renters if you are the one who will be asked to show their card. The establishment license belongs on the company record. Those are different documents with different renewals. A shop that only tracks the establishment license will still be surprised when an individual card lapses and the licensee cannot legally perform services. Track the card that the inspector asks the person to produce.
Continuing education, sanitation coursework, or other hours your board requires before renewal get their own due date when that date is earlier than the printed expiration. Write the board's name in the notes. This product does not know whether your state requires CE for nail technicians this year. You confirm that on the board's site, then enter the date. If your state does not use CE for a license type, do not invent a CE document. An empty requirement should not generate reminders.
Booth renters and employees on one board
A booth renter is not your employee for payroll, and their liability insurance may be their own policy. You can still track the personal license if the establishment is expected to confirm it. Put the relationship in the trade or the notes: employee or booth renter. If you also collect their certificate of insurance, store it as a COI document, not as the license. The expiration of a renter's liability policy is not the expiration of their cosmetology license.
Reminders at 30, 14, and 7 days go to the email on that party. The update link lets them send a photo of the renewed license without a login. You accept it in Review. That review is how you notice a photo of a different person's card or a cropped image that hides the year. Shared front-desk logins are unnecessary. Seats are for the owner and a manager. Starter includes 3.
- Establishment license on the company record.
- Each cosmetologist, barber, esthetician, or nail technician on their own row.
- CE only if that license type actually has an hours deadline.
- Insurance certificates, if you collect them from booth renters, are a separate document.
What this does not do
It does not file the renewal, pay the fee, or check a state database every night. It does not give legal advice about whether a booth renter must carry their own policy in your city. It stores the date you are responsible for watching and the image of the card, and it asks for a new image before that date. Starter is 25 people and 3 seats. Pro is 100 and 10. Business is 300 and 25. A single salon is usually Starter or Pro. Annual billing is two months free, with the same limits. The 7-day trial is for first-time subscribers only.
If your shop also wants subcontractor-style COI tracking for a plumber who renovates the shampoo room, that vendor is just another party with a certificate. The industries hub links the COI pages. The salon page stays about personal and establishment licenses, which is the part that matches how these boards actually license the work.

Questions
Does this fit a salon that only rents booths?
Yes, if you need each renter's personal license on file. Mark them as booth renters in the notes. Track their liability certificate only when you have decided that collecting it is your job. Do not assume the product requires insurance from renters.
Our state has no continuing education for cosmetologists. What do I enter?
Enter the license expiration only. Skip the CE document. Reminders should follow real deadlines, not a generic template.
Can a stylist upload their renewed license from their phone?
Yes. Send the update link. They upload a photo. It waits in Review until you accept it, so a bad photo does not replace the current card.
